2. What information we collect
When you contact us or request a quote (website form, phone, email or WhatsApp):
- Your name, email address and phone number
- The address and postcode where the work is needed
- A description of the job, and any photos you choose to send
When we carry out work for you:
- Job details, appointment dates, notes about the work and the property
- Photos of the work taken before, during and after the job
- Quotes, invoices and payment records
- Our messages with you by email and WhatsApp
When you visit our website: our web server keeps standard technical logs (IP address, browser type, pages requested, date and time) for security and to keep the site working. We also use Google Analytics to understand how visitors use the site — which pages are viewed, roughly where visitors are, what device they use, and whether they tap to call, WhatsApp, email or send an enquiry. See Cookies and analytics below.
We do not knowingly collect special category data (such as health information). Please don't include it in messages to us unless it is genuinely relevant to the job — for example, an access requirement.
3. How we use your information and our lawful basis
| What we do | Lawful basis (UK GDPR) |
|---|---|
| Reply to your enquiry and prepare a quote | Steps taken at your request before entering a contract |
| Book, carry out and follow up on the work | Performance of a contract |
| Send invoices and keep accounting records | Performance of a contract; legal obligation (tax records) |
| Send you appointment reminders and job updates | Performance of a contract |
| Ask you to leave a review after a completed job | Legitimate interests (improving and promoting our service) — you can opt out at any time |
| Filter spam and protect our website and systems | Legitimate interests (security) |
| Use photos of completed work, without names, addresses or anything that identifies you or your home, on our website and social media | Legitimate interests (showing examples of our work) — tell us if you'd rather we didn't |
We do not sell your information, and we do not use it for automated decision-making or profiling.
4. Who we share it with
We only share your information with service providers who help us run the business, and only as much as they need:
- Website and email hosting — stores our website, customer records and email
- Google — contact management tools we use to keep customer details organised, and Google Analytics for website statistics
- Meta (WhatsApp) — if you message us on WhatsApp
- Our accountant and HMRC — where required for tax and accounting
We may also disclose information if the law requires it, or to establish or defend a legal claim.
Some of these providers may process data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Addendum.
5. How long we keep it
- Customers: job records, invoices and payment records are kept for 6 years after the end of the financial year they relate to, as required for UK tax purposes.
- Enquiries that don't go ahead: deleted within 12 months of our last contact with you.
- Server logs: kept for a short period for security, then deleted automatically.
6. Cookies and analytics
Google Analytics. We use Google Analytics 4 to measure how our website is used, so we can improve it. It sets cookies (named _ga and _ga_…) that recognise your browser on return visits, and it records events such as tapping our phone number or WhatsApp button. Google processes this data on our behalf. We do not use it for advertising, and we don't combine it with our customer records. The cookies last up to 2 years.
We only use Google Analytics if you say yes. When you first visit, a banner asks whether you accept analytics cookies. If you choose Reject, Google Analytics does not load and no analytics cookies are set. Your choice is saved in your browser so we don't ask again on every page.
You can change your mind at any time using the Cookie settings link at the bottom of every page. If you withdraw consent we delete the analytics cookies from your browser. You can also block cookies in your browser settings, or install Google's Analytics opt-out browser add-on.
Google Fonts. Our pages load fonts from Google's servers, which means your browser shares your IP address with Google to receive the font files.
Staff login. The login area used by our own staff sets a strictly necessary session cookie. It does not apply to website visitors.
We do not use advertising or social media tracking cookies.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information (unless we have to keep it, e.g. for tax records)
- object to or ask us to restrict how we use it — including opting out of review requests and use of job photos
- ask us to transfer information you gave us to another organisation
To make a request, email info@aihandyman.co.uk or call 01273 044551. We will respond within one month. There is normally no charge.
8. Keeping your information secure
Customer records are held in a password-protected system accessed over encrypted connections, by authorised people only. No method of storing or sending data is completely secure, but we take reasonable steps to protect your information and will act promptly if a problem occurs.
9. Complaints
If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
